INTRODUCTION
Surveillance and audit of refueling operations are crucial for cost control. Mine and site operations are deploying RFID-based access control and refueling automation systems to record crucial dispensing transaction data. Meanwhile, HEMM tank fuel sensors monitor fuel receipts in HEMM tanks.
To check the integrity of refueling operations, supervisors need to audit these transactions. This typically requires setting up elaborate reconciliation teams to manually validate every dispensing (debit transaction) against the corresponding tank level increase (credit transaction) recorded by HEMM tank fuel sensors.
With hundreds of refueling transactions being done each day, it is an unforgiving task to manually validate each and every transaction.
Our automated multi-system Refuel Auditor takes away this administrative overhead by integrating and validating data from multiple systems, swiftly processing thousands of transactions in seconds. By publishing anomalies, the solution frees up fuel operations managers and lets them focus on corrective actions—all within the same shift.
HOW IT WORKS
Large fleet operations cannot rely solely on either a dispensing automation system or an HEMM fuel sensor system; they must have both! A fuel sensor-only system suffers from reporting errors due to calibration issues and inclined parking, while a dispensing automation-only system cannot detect tank pilferages. If site operations deploy both without integrating data, the software from each system generates its standalone report which the site managers must download and manually reconcile.
Mindshift specializes in integrating data from multiple IOT sensors and automation systems. Our Refuel Auditor is a handy tool used by fuel managers to carry out a 100% and instantaneous audit of all refueling transactions done by bowsers or fuel stations. By automatically reading multi-system APIs and data streams, it checks fuel level increases recorded by the fuel sensor against all possible RFID dispensing transactions. Hundreds of automated ‘debit vs. credit’ verifications are done daily, with anomalies published instantly for prompt action. Color-coded heatmaps quickly pinpoint anomalies for immediate attention.

IMPACT
For a site with 150 assets, manual checks of fuel sensor data against the refueling transaction would earlier require 1 supervisory FTE (full-time manpower) devoting 5-6 hours daily. Besides the manpower cost, human errors, manipulations and delays would often result in unfinished validations.
CONCLUSION
By eliminating the need for manual data checks and ensuring comprehensive monitoring through automated verifications, our automated refuel audit provides a reliable solution for managing fuel transactions.
